Tips on ERP Implementation

Many organisations depend on their selected ERP vendor to guide them in the implementation of the new business solution. Typically, organisations also expect to see immediate benefits in the form of increased productivity, increase in profits, overall improvements in workflow and processes and high user acceptance of the ERP implementation. However, this may not always be the case for a variety of reasons. Below are some tips we’ve gathered from our years of ERP implementation experience which we believe would be of benefit to you.

To increase your chances for a successful ERP implementation, here are a few tips you should take note of before embarking on the new project.

Tip 1: Internal Requirement Gathering

Every ERP implementation should begin with defining the extent of the project. It is always easy to get carried away with the team’s long list of requirements and needs – so always stick to the fundamental reason for implementing a new ERP solution. As a rule of thumb, avoid “nice-to-have” and focus on “must-have”. To differentiate between both, ask the team what business impact the requested functionality/feature would have on the overall productivity. Have several rounds of discussions internally to fine-tune your list of requirements. Use this as an opportunity to define the entire scope of your ERP implementation. Having a well-defined scope will keep your project within budgeted time frame and resources.

Tip 2: Budgeting For The New ERP Solution

Similarly, as important to your requirements is to set a budget to spend on the new solution. Not having a budget in mind will not give you the ability to plan and forecast your projected investment in the new ERP solution. Budgeting for the new solution helps in the business’s cash flow planning, and the ERP vendor can also provide you with input on how to manage your ERP spend. With a budget in mind, ERP vendors would also be able to advise if you have under-budgeted or over-budgeted for the new solution. The budget amount should be commensurate with the complexity of your new ERP solution, total users, integration etc.

Tip 3: Third-Party Systems

If your existing business relies on other stand-alone systems and solution, it is crucial to consider how you would want them to function within the new ERP environment. Below are some options:

  • Used in tandem with the new ERP as a stand-alone
  • Integrated with the new ERP
  • Replaced by the new ERP

For integration with the new ERP, you will need to confirm that the existing system has an open API that allows data to flow in and out of the solution via an integration. It would be helpful if they have an existing integration component built-in, so you may not need to invest in building a new integration. You may also want to consider the cost of doing so and whether it justifies. If you would like to eliminate this stand-alone system, then make sure that the new ERP has the functionalities that you require. Most of the time, utilising the built-in feature of the ERP would be cost-effective and easier to maintain in the longer term.

Tip 4: Mobility Work-From-Home Option

The ability to be able to work at any location of choice is crucial in any modern ERP. Make sure that your ERP has mobility covered – ready to use on mobile devices and that you can work from your laptop wherever you are. You want to provide the ability to work from home (WFH) for your employees and to ensure that they can perform their tasks effectively even if they are not able to come to the office. Most new modern ERP solutions have mobility options so that tasks can also be completed if they are on the move.

Your ERP vendor’s support for your ERP solution is of crucial importance because you want an experienced vendor who can help you in your times of need. Ensure that your ERP vendor has an excellent track record; and ample experience in assisting other businesses to implement ERP solutions and can support you while you are growing your business.
